Zone optical character recognition (zone OCR or zonal OCR) has been touted by some as the most efficient method to date for document management. The ability to identify specific areas, or zones, on a document and index them based on preexisting definitions certainly helps to streamline the data entry into Microsoft Dynamics GP, NAV and AX enterprise resource planning software, or into other ERP systems. But zone OCR may not always be the best option.

A recent blog post over on the AIIM expert blogs got me to thinking about how complex a move to paperless is for most companies. In his post, entitled "If you want to be paperless, eat your own dog food," the author talked about how people in the ECM and capture industries still rely heavily on paper. “Almost comically so,” he said, recounting his experience at a paper-capturing and digital-workflow-process conference, where paper documentation seemed to be the norm rather than the exception.

The advent of the paperless office has been heralded for years now, as you can see from the above outdated graphic of the KwikTag paper monster, but for many businesses, it simply hasn't happened...at least, not entirely. While computer technologies did reduce reliance on traditional hard-copy filing, they weren't able to completely digitize transactional documents such as invoices and order forms. In fact, many experts now think that offices will never be completely paperless, and that hard-copy documents will always have a role to play in the world of business-to-business commerce. However, the manual filing and management of paper documents is fraught with risk and error, sometimes resulting in costly miscues, but it was something that simply couldn't be completely avoided until transactional content management software came along.

When it comes to information systems, we have lived in a siloed world ever since we moved past the first company mainframe. As the network revolution gathered steam over the last 20 years, the information we need to do our jobs continued to splinter.
